My Primary and Secondary Tutor is committed to safeguarding your privacy. We collect, use and are responsible for certain Personal Data about you.   • 9. Right to withdraw consent – you have the right to withdraw any given consent for Processing of your Personal Data;

You are not required to pay any charge for exercising your rights. If you make a request, we
have one month to respond to you.

Data we gather 


Information you have provided us with
This includes your name, home address, e-mail address, telephone number, any special education needs information and emergency contact name and contact number. We also collect personal data from the children we provide our services to. This includes their name, age/DOB, class, school, medical needs and their interests.  


Information we gather from providing our services to you
We gather information from the services we provide including information about your child's level from the initial assessment which we share with you verbally during the assessment and share between our lead tutor and your tutor.  We gather information about your child's progress through providing our services which are shared between tutor and lead tutor through our monthly progress reports.  We gather information about your child's progress and share this with you through our weekly feedback messages. We use third party providers to share and store this information including Tutorbird, AirTable, FreeAgent, Google, MailerLite, One Drive, Class Dojo, Meta, and Google Shared Drive.

We might gather Personal Data about you that is publicly available.
   
Why we need your Personal Data  ​​​​​​​
We need to collect your Personal Data so that we can: 
provide our service to you. This includes, for example, registering your account; providing you with other products and services that you have requested; providing you with promotional items at your request and communicating with you in relation to those products and services; communicating and interacting with you; and notifying you of changes to any services; 
enhance your customer experience; 
fulfil an obligation under law or contract; 
to track the progress of children enrolled in our services 
to communicate with you either about the services we provide to you, for sales or for invoicing purposes; 
to send you personalised offers (from us and/or our carefully selected partners); 
to administer and analyse our client base (purchasing behaviour and history) in order to improve the quality, variety, and availability of products/ services offered/provided; 
to conduct questionnaires concerning client satisfaction; and to send you newsletters and campaign offers (from us and/or our carefully selected partners). 
When we use your Personal Data we are required to have a lawful basis for doing so. There are various different lawful bases upon which we may rely, depending on what Personal Data we process and why. We may process your Personal Data where it is necessary for our legitimate interests or your legitimate interests.  We may also process your Personal Data with your consent, on the grounds of entering into a contract with us, fulfilling contractual obligations or fulfilling our legal obligations.

We might process your Personal Data for additional purposes that are not mentioned here, but are compatible with the original purpose for which the data was gathered. To do this, we will ensure that: 
the link between purposes, context and nature of Personal Data is suitable for further processing;

there would be appropriate safeguarding for processing.

We only work with processing partners who are able to ensure adequate levels of protection to your Personal Data and when it is required for specific purposes.
We may also disclose your Personal Data to third parties or public officials when we are legally obliged to do so. This may include sharing children's Personal Data with the consultants we engage with for the purposes of providing our services. We might disclose your Personal Data to third parties if you have consented to the disclosure.  

How we secure your data 
We do our best to keep your Personal Data safe.  We use safe protocols for communication and transferring your Personal Data (such as HTTPS). We use anonymising and pseudonymising where suitable. We monitor our systems for possible vulnerabilities and attacks.  
Even though we try our best we cannot guarantee the security of information. We will notify you if there is a high risk to your rights and freedoms as a result of the data breach. We will do everything we reasonably can to prevent security breaches and to assist authorities should any breaches occur. 
If you have an account with us, note that you have to keep your username and password secret.

How long we keep your Personal Data 
We will retain your Personal Data for as long as necessary for the purposes we have set out above.  At your request or if you do not engage with us for a period of 3 years, we will review and may delete any information that we no longer have a legitimate reason to retain. 
Your Personal Data may be retained longer by the third parties listed above in accordance with their privacy policies.
